AI Teams & Automation

Get recurring work off your plate.

We build AI teams and automations that help with follow-ups, admin and the work your business repeats. We set them up around the information, tools and checks the job needs.

An AI team is a set of assistants with specific jobs. They use information about your business and the tools you give them access to. One might prepare a reply; another might turn meeting notes into next steps. Your people check the work and approve decisions.

Opens email to arrange a call. Bring one recurring job you would like help with; we’ll discuss whether it fits and what needs to be understood before building.

The work that keeps coming back

What could come off your plate?

Seven business areas where we could help. We choose the jobs with you and agree the tools, connections and review steps each one needs.

Executive Support
Prepare a daily or client-call brief from your notes and calendar. Turn meeting notes into next steps and follow-up drafts for you to check.
Marketing
Turn your notes or a video into a blog post, newsletter or social draft. Build a repeatable content workflow with fact and voice checks before publishing.
Sales & Pricing
Draft quotes and proposals from customer requirements and your offers, with scope and price ready for review. Prepare follow-ups on open quotes.
Finance
Prepare invoices from agreed job details and payment reminders from outstanding balances. Your team approves the amounts and messages before sending.
Customer Care
Set up voice reception to answer routine customer questions, capture call notes and pass requests needing help to a person. For email support, draft replies from your service information for your team to check and send through the agreed process.
Delivery
Turn a recurring job into a delivery checklist. Prepare handoff notes with the next owner, missing information and checks before the work goes out.
Internal Operations
Name and file documents consistently so your team can find them again. Organize scattered notes into useful business information for the next job.

One job, from start to finish

From a customer enquiry to a reply ready for review.

Illustrative workflow. The steps and connections depend on your tools and agreed scope.

  1. 01

    Gather the context.

A customer enquiry arrives. The assistant uses the service information and relevant records it has permission to read.

  2. 02

    Prepare the work.

It drafts a reply and lists anything missing. Unclear details go back to a person.

  3. 03 / Human approval

    Review and send.

Your team checks the facts and commitments. The approved reply is sent through the agreed process.

Installed, connected and working

What we put in place.

The implementation scope names the working outputs we will set up and test with you. Those might include a customer-reply assistant, a meeting follow-up workflow or a view of outstanding work.

Information and access.
We agree which business information each assistant needs, what it can read and which tools it can use. Connections depend on the access and features your tools support.
A working process.
We define what starts the job, what it produces and what happens when information is missing or a step fails.
Checks and handover.
We test the agreed work with examples, define where people review it and agree who will use and look after it.

How we get there

Start with the work you want help with.

  1. 01

    Talk through the job.

We discuss the recurring work, the people involved and what would make the change useful.

  2. 02

Decide what needs to happen first.

If the job is clear enough, we can scope implementation. If important questions remain, a paid Flight Plan can help investigate them. A simpler process may be the right answer.

  3. 03

    Agree the build.

Before implementation, we agree the outputs, fee, timing, access, human approvals and how we will check that the work is ready to use.

Once it’s running

Know who looks after it and what carries on.

We agree who maintains it. Software subscriptions, AI usage and support may add ongoing costs, depending on the scope.

What will it cost to build and run?

Implementation is scoped and priced separately. Software subscriptions, AI usage and support can add ongoing costs. We identify expected costs and who pays for them as part of the scope; usage-based charges can vary.

Who maintains it?

Information, tools and business processes change. We agree who checks the system and keeps it up to date. Ongoing monitoring, maintenance and changes need an agreed scope and fee.

What stays with my people?

Your team remains responsible for decisions and commitments. We agree which steps need approval and what the system should hand back to a person when it cannot proceed.

Do I need Pre-Flight or a Flight Plan first?

You can request a fit conversation directly by email. Pre-Flight is an optional first look. Flight Plan is a separate paid investigation when you need evidence before deciding what to change.

Can I learn to build this myself?

Yes. ACE combines a practical AI course with weekly coaching. You work on your own business, learn how assistants use information and tools, and practise checking what they produce.
